MedConPim – MedCon Physical Inventory Management (Internal and External)

No development or modifications to the PBS (Primary Business System) are necessary other than the final processing of the stock updates resulting from any requested inventory adjustments.
MedConPim is a WEB-based application that does not require any software installation. It requires only devices to read the inventory like Palmtops or Tablets or Smartphones
Using the functionality of “Physical Inventory Management” all stages of the detection and physical verification of the stock are managed according to a set of configuration parameters which allow the transfer to a local server of the list of warehouses, products, locations and, for internal inventory, “frozen” stock which require to be subjected to inventory control and verification without the need to implement and/or modify programs (with the sole exception of the return file which is created by “Physical Inventory Management” and which contains the list of inventoried products – “frozen” stock and “counted” stock – that has to be then processed within the PBS).
The internal inventory process foresees several physical count operations with the automatic generation of a “reference count” following at least two identical (matching) physical counts.. In order to enable simultaneous inventory detection
operations across several workstations, the functions of “Physical Inventory Management” have been grouped into two “modules” based on their area and scope of operation:
- the Inventory Data Collection function that is available on as many workstations (hereafter “User” and/or “Client”) as there are operators (Personal Computers) involved in the inventory identification process.
- the Count Comparison and Reference Count Generation functions that are available on a single workstation only (hereafter referred to as “Master and/or Server.”)
Inventory Data Collection
Includes all functions required to detect all items stored in each physical location by scanning the barcode relating to their product code — Lot number
In detail, the following options are available :
Download of files related to Warehouses/Products/Locations/Lots to be checked
Files are downloaded from the PBS following a simple setup procedure which allows, in a simple and flexible way, the definition of the dimensional characteristics of the main attributes to be checked, (e.g. how to “map” the Location field). Selective download options provide the possibility to assign to a specific workstation a range of products and/or warehouses/locations to be checked (thus enhancing the control level during the “physical detection” phase)
Data Collection
“Blind” inventory data collection carried out by operators with bar code scanners working in keyboard emulation mode or with a Palmtop (Pocked Computers) connected to the “User” workstation in WEB-server mode via Wi-Fi – Wi-Fi Ad-Hoc technology, while for External Inventory (consignment) this operation can be done OFFLINE.
Inventory count transmission
With this function each “user” workstation uploads, to the “master” module of the application, the file containing the information gathered during each specific inventory count (Count number / Warehouse / Product / Lot / Location / Quantity detected).
Count Management and Comparison with Automatic Reference Count Consolidation (Internal Inventory Server side function)
This is the part of the application which handles the inventory counts receipts and processing and leads to the generation of the “Reference Count” which contains the information relating to what has been physically detected.
The module includes the following functions:
Count Data & Frozen Stock Import
This function is used by the “Master” workstation to import the count information contained in files generated by the various “User” workstations during the Inventory Count Operations.
The import phase notifies and discards all previously imported and recorded records relating to Count number / Warehouse / Product / Lot / Location .
Even those situations which do not allow performing/recording of multiple counts, can be handled via the possibility to import one single inventory count predefined as the Reference Count (this operation is controlled and logged)
The import function is also used to download the “Frozen Stock” from the PBS.
Inventory Count Data Maintenance
With this function it is possible to correct/delete any information in the case of data transmission errors and/or verified discrepancy from what is communicated.
As foreseen for the Reference Count Import, all manual transactions are logged in an Audit Database specific to each inventory session.
Count Audit Report
This is the report function that provides printed output with the information recorded in the system for each single count.
Counts Comparison Report
This is the core function of the system which highlights the Locations-Products that require a more in depth check (e.g. where a further count is required due to the lack of two matching counts) and which, in the case of two counts with matching inventory data, consolidates the Reference Count.
Reference Count vs. Frozen Stock Comparison Report
The purpose of the report is to notify the user about any Location-Product-Lots which, despite being included in the Frozen Stock, are NOT detected during the Inventory Count Operations.
As this eventuality could be due to an actual absence of Product-Lots (checked but not found in location) and/or to the absence of check or return of inventory count data, before certifying the product absence and/or and unexpected stock, this report provides the tool for a deeper investigation into all Locations-Products-Lots listed in the Frozen Stock and not detected by the Inventory Counts as well as any Locations-Products-Lots not included in the Frozen Stock but physically present..
However, the notifications in this report do not prevent the export of inventory data, if this should be required.
